The questions independent venue owners ask most often about how BrandWave works day to day.

Frequently Asked Questions

Does BrandWave fully automate venue booking?

No. BrandWave does not automate the booking decision. You still decide when a lead is ready for contract. The system helps organize what happens after that decision, including booking details, contract creation, payment tracking, reminders, and follow-up.

Does the DIY plan include setup support?

DIY Access includes your BrandWave account setup and core pricing engine connection. You personalize the system using the Setup Hub. Hands-on configuration is included in Standard Setup.

Are AI Chat and Voice AI included?

AI Chat and Voice AI are available as Premium features or add-ons for venues that need after-hours inquiry capture, missed-call support, or lead qualification.

What is BrandWave for Events?

BrandWave for Events is a venue operating system, not a generic CRM or booking tool. It connects inquiry capture, automated follow-up, tour scheduling, contracts, e-signatures, proposals, invoices, payments, client portals, event detail forms, review requests, and social scheduling in one system built specifically for independent event venues.

Most venue software starts after a lead becomes a booking. BrandWave starts the moment an inquiry arrives and continues through the post-event review request, covering every stage where venues typically lose revenue to slow response, missed follow-up, or disconnected tools.

BrandWave for Events is built and configured by Jenna Nelson, a Rosen College of Hospitality Management graduate with 20+ years in the event industry and direct consulting experience with over 100 venues across the country.

Does this replace my current tools?

For most independent venue owners, yes. BrandWave for Events is designed to replace the combination of a separate CRM, email marketing tool, contract platform, calendar tool, invoicing system, and social media scheduler that most venues currently run as disconnected pieces.

The tools BrandWave most commonly replaces: HoneyBook, Dubsado, a separate email platform, manual contract workflows, and basic calendar systems.

The tools BrandWave is not designed to replace: advanced BEO and catering management platforms, CAD floorplan tools, or enterprise multi-location hospitality systems. If your operation requires those capabilities, we will tell you that upfront before you commit to anything.

What makes BrandWave different from other venue CRMs?

Three things separate BrandWave from other venue management tools.

First, it was built from inside the industry. Most venue software is built by development teams who studied the market. BrandWave was built by a venue strategist who consulted directly with over 100 venues and kept watching the same operational gaps cost venue owners real revenue. That experience is embedded in every workflow.

Second, it covers the full revenue lifecycle. Most venue platforms manage events after the booking. BrandWave manages the path that gets events booked in the first place, inquiry response, lead qualification, tour scheduling, follow-up, proposal, contract, deposit, event details, final payment, and review request, all connected in one system.

Third, it connects operations and visibility. No other venue tool at this price point includes Google Business Profile management, local SEO support, review automation, social scheduling, and AI-powered chat and voice capture alongside the booking and contract system. Your marketing and your operations run from the same place.

What is the Live Venue Quote tool?

The Live Venue Quote tool is a client-facing interactive pricing builder embedded on your venue website. Prospects check real calendar availability, select their event type, duration, headcount, and add-ons, and receive a branded PDF of their quote and your sales packet via email, instantly and automatically, before your team has done anything manually.

Your team receives an internal notification the moment a quote is generated so you can follow up while the prospect is still engaged. The tool is available as part of Premium Consulting or as a standalone add-on for Standard Setup clients.

Every venue also has the option to deploy the Live Venue Quote tool independently from BrandWave, as a standalone website conversion asset. Ask about this during your demo call.

Who created BrandWave for Events?

BrandWave for Events was created by Jenna Nelson, a venue strategist and event industry veteran based in Nashville, Tennessee.

Jenna holds a Bachelor of Science in Event Management from the Rosen College of Hospitality Management at the University of Central Florida, one of the few dedicated event management programs in the country. She spent over a decade as a corporate event planner producing events from intimate VIP experiences to productions with 50,000+ attendees.

After consulting directly with more than 100 independent event venues across the country, she saw the same pattern repeating: capable venue owners losing revenue not because of their space or their service, but because the tools they were using were never designed for how venues actually operate. She built BrandWave for Events to close that gap.

Jenna is a member of MPI, ILEA, and TWESA.

Do I need to be tech savvy?

No. The DIY tier includes a step-by-step Setup Hub that walks you through every configuration in order, each step tells you exactly what to do and what complete looks like. Most venues finish setup in one 45–60 minute session.

The Standard Setup and Premium Consulting tiers require no technical work from you at all. Jenna's team configures the entire system for your venue, calendar, contracts, automations, payment workflows, email and SMS sequences, and social scheduling, and walks you through everything on an onboarding call before you go live.

The system is designed around a simple principle: your job is to run your venue, not configure software. BrandWave handles the backend.

Can I upgrade later?

Yes. You can start with DIY Access at $100/month and upgrade to Standard Setup or Premium Consulting at any time.

The most common path is starting with Standard Setup from the beginning, since the full system configuration means you go live with everything working rather than building it yourself. Venues that start with DIY and later upgrade to Standard Setup typically do so within the first 30–60 days after realizing the time required to self-configure.

If you are unsure which tier is right for your venue, use the calculator on this page, it will show you what your current setup is likely costing you and help you evaluate the options side by side.

Are there any additional costs?

Yes, and we are transparent about this upfront.

Usage-based charges apply for outbound SMS messages, email sends beyond the included volume, and AI feature usage including chat and voice. These are carrier and processing costs passed through at cost, not a margin item for BrandWave.

For most independent event venues, usage costs run between $10 and $30 per month. A venue sending automated inquiry responses, tour reminders, deposit reminders, and post-event review requests, a typical active month, would fall well within that range.

A full breakdown of typical usage costs by venue type and volume is available at meetbrandwave.com/usagecharges.
